GUIDELINES - How to register a student from another school in my project

IMPORTANT NOTICE: this guideline is only for the student Associations recognized by EPFL. You can check followingthis link.

Within an interdisciplinary MAKE project, it is permissible to recruit members who are students from a school other than EPFL, or members who are no longer currently students. However, these cases must remain in the minority within the association, which is recognized by the EPFL MAKE program.

In the event of the arrival of a member who does not have EPFL accreditation, it is possible to give him/her access access rights as other team members on campus by following the procedure below.

1) Compile a list of external members with the following information: Last name, first name, email address, date of birth, gender (male, female, not defined). You also need to join a copy of an identity piece (ID card or passport) for every student to register.

2) Write an email to associations@epfl.ch with this list, the ID pieces and ask in the email:

- register the students as member of your association

- Give the Accred right “Avoir un compte active Directory”and use of the provided external email address (to receive the access code once the account created.

- End date for their registration (proposition: September 30th)

3) Once the people are registered with a Camipro number, you need to request a CAMIPRO card. They can obtain a CAMIPRO car by taking an online meeting via : https://go.epfl.ch/rdv-camipro.

4) Once the camipro is acquired and the “active directory account” is created, contact Julien Delisle with the list of students with SCIPER. For being able to do the online training, it is needed to enter manually these students as exception in the MAKE training and therefore receive a special access.

5) After receiving this special access, the registered external students will be able to complete the online training as any other member. Please, note that the student will need to use “*family_name” (=asterisk followed by the family name) to find their name in the chapter about Intellectual Property. Once register as a MAKE project member –> camipro access will be granted

Note: This will grant access rights, particularly to premises and equipment. However, it is not yet possible to grant VPN and software access to external parties.
